Purpose of Role
The Study Day Organiser arranges any Study Days/Days of Special Interest the Society decides to hold. These days have different formats and can be independent from subjects on the lecture programme or can complement the programme by offering the opportunity to study subjects in greater depth.
Responsibilities
- Make suggestions to Committee for Study Day subjects and lecturers
- Liaise with other Committee members over dates and possible follow up lectures or visits
- Contact lecturer(s) to discuss title, content and format of study day, fee, travel expenses and if VAT is payable. Negotiate fees to fit the Society's budget
- Discuss hospitality and overnight accommodation with lecturer and arrange as necessary
- Fill in booking form with agreed details and send it to lecturer with sae.
- Book hall and arrange catering
- Work out pricing and advertise the event
- Take bookings and payment. If bookings are slow, talk to the Committee about advertising the event more widely and arrange as necessary
- Pass payments to Treasurer with supporting list
- Liaise with projectionist/technician concerning equipment requirements, or put the lecturer in direct contact
- Contact the lecturer to confirm arrangements a few weeks before. Discuss the provision of notes for attendees
- Give Treasurer information necessary for cheques for lecturer, caterers and venue (if necessary) on the day of the Study Day
- Discuss the Study Day with the Committee and, if possible, other attending members and complete the Study Day review form online
