The AGM has been cancelled - can I receive a refund on my travel and hotel arrangements?

With regard to accommodation and travel costs incurred to attend the AGM. The fares pool reimbursements to attending Societies were due to be processed after the event.  Many hotels in Spain are issuing refunds at the moment and many of the airlines are cancelling flights in two weeks blocks.  For now, we suggest you contact both the hotel and airline. If they are not currently issuing refunds at this time (with  9 weeks still to go before the original AGM date) it is advisable to maintain the booking, as a refund may become available in due course as providers have to cancel. However after the event date (13th May 2020) if you have been unable to receive a refund please provide the Finance team with details of the costs incurred, and an amount not exceeding £250 will be paid from the Fares Pool.

 

The AGM has been cancelled - will I receive a refund on the Dinner and the Drinks Reception?

Full refunds have been issued for the Picasso Museum Drinks Reception and the dinner at Los Patios de Beatas through the platform that you used to make the booking. We believe that refunds usually take 3-5 business days but given the circumstances it might take slightly longer than usual.  If you have any queries about this please email agm@theartssociety.org


Will The Arts Society House receive post?

Yes we will, but there will be a delay in getting back to you if the office has to be closed.


I want to order merchandise

Please bear with us, there will be a delay in sending out orders. Whilst the office is closed we will be unable to send out merchandise.


Will Directory Day 2020 still take place?

We regret to inform you that the following Arts Society events and meetings for the period 16 March to 30 April will be cancelled:  

  • Area Meetings

  • Hub Meetings 

  • Directory Day 

  • Area Study Days and Trips

  • Training events 

  •  

We are working on alternative plans to make the content of the Hub Meetings and Directory Day available to Societies through digital channels. It is unlikely that Directory Day will be rescheduled in 2020, due to the logistics of moving such a complex event, the availability of suitable venues and potential clashes with other events.


I’ve booked travel tickets to attend Directory Day, what will happen to my expenses?

If you’re unable to get a refund on your tickets, we will still process travel expenses for two committee members from each society. There will be a delay in processing expenses and we thank you for your patience during this period. 


Can I still get hold of Directory Day documents (new lecturer information and booking forms)

Yes, the directory day new title sheet will be sent out shortly to attendees and online booking forms are available to download here - https://theartssociety.org/resource/programme-secretary-role-description


I need help letting my membership know that we are cancelling our lectures at short notice

We would be happy to help send out an emergency message to your members if no one on the  committee is able to and we can also help you update your society page on The Arts Society website. Please contact direct email addresses for advice.


I need address labels for my society

If we are unable to post address labels to you due to the closure of our office we will be able to send you a PDF of your society’s address labels free of charge for you to print off at home.


I want to attend a Training Day

Training events both at The Arts Society House and in Areas which were scheduled to take place before May 2020 have been postponed until further notice. We will monitor the situation and reorganise these days as appropriate.
